Project case study – EasyGreek

My client is a Youtube star! 🌟

Dimitris Hall founded Easy Greek, a super fun way to learn Greek. His business and team grew fast (11 people now!), and with success comes… chaos and plenty of last-minute stress and working nights and weekends.

My job was to bring structure to Easy Greek’s processes, set up a task management system and create a “smart” content calendar to plan the team’s work ahead of time. The goal: less stress, more efficiency and (even) better content.

What we did

First we set up a Notion workspace, where all team members can see everything EasyGreek does, how they do it and who does what. We made a list “role descriptions” for all the team members, with an overview of processes each team member is responsible for. The processes were described in detail.

Using Asana (still very much superior to Notion for “task management”), we made a list of concrete recurring (weekly / monthly, etc.) tasks linking back to the Notion process descriptions.

Lastly – using Google Sheets – we created a content schedule with a clear overview of all the podcasts & Youtube videos publishes and again: who needs to do what which day of the week (and no tasks on weekend days!).

The result

Every team member now knows what they need to do, and when, so they can plan their work. And have the weekends off if they want to…
